User Licenses and Permissions
Reporting Intelligence uses licenses and roles to control what users can do.
Licenses control what a user can do within each module: Reports Center, Data Hub, and Intelligence Layer. Each user is assigned one of four licenses: Admin, Designer, Power User, or Viewer. For the licenses that apply to the Excel Desktop Add-In, see Excel Desktop Add-In.
Roles control access to administrative tasks. Users with the Account Manager role have access to Administration, where they can create users and assign licenses. The Admin license doesn't give access to Administration.
Users with the Admin license can also grant the Reporting Intelligence application access to the selected Microsoft SharePoint site.
In summary, by module:
- Reports Center: All licenses have the same access.
- Data Hub: Users with the Admin, Designer, or Power User license can create, edit, and delete connections and replication tasks. Users with the Viewer license can test connections, run tasks, and view logs, but can't create, edit, or delete them.
- Intelligence Layer: Users with the Admin or Designer license have full access. Users with the Viewer license can view and enable or disable rules, view results, and manage their own subscriptions, email digest, and notifications. The Power User license doesn't apply to Intelligence Layer.

Note: Note: In the public workspace, users with any license can only run reports and download the latest output or template. Creating, editing, and deleting folders, as well as uploading, editing, scheduling, sharing, moving, changing ownership of, publishing, and deleting reports, are available in private folders only.
Note: Note: Business Views are automatically shared with your entire organization when they're created. You can't edit a Business View after it's created; you can only delete it.

Note: Note: If you're migrating from Jet Reports, users with a Jet Viewer license can't create, edit, or delete connections and replication tasks in Data Hub after migration. They keep full access to Reports Center, including running reports, publishing Business Views, and deleting their own Business Views.

Excel Desktop and Online Add-Ins
In the Reporting Intelligence Excel Desktop Add-In, what a user can do depends on whether they have a Designer license, a Viewer license, or no Reporting Intelligence license. The Admin and Power User licenses don't apply to the Excel Desktop Add-In.
- Designer: A named user who can create and modify reports in the Excel Desktop Add-In. Designers have access to data in the connected databases, limited by their individual security settings in each database. They set up the format and filters on reports and statements, which controls what other users can see and run. Designers can also do everything a Viewer can.
- Viewer: A user who can run reports that Designers create. Viewers can refresh reports to get current data, change the filters that Designers set up (limited by their individual security settings), use drilldown, and schedule reports. Each user who refreshes data, changes filters, schedules reports, or uses drilldown needs at least a Viewer license.
- Excel user without a license: Because Reporting Intelligence reports are Excel files, anyone with Excel can open a report that was designed for them to view. These reports are static and can't be refreshed.

Note: Access to database data, and the filters a user can change, are always limited by that user's individual security settings in the database.
